Lost Your EHS Manager Before a Certification Audit? What to Do Now

It happens more often than companies admit. The safety and environmental manager is let go or resigns, and a few weeks later the certification body arrives for an integrated surveillance audit. The management system still exists on paper, but the person who understood it is gone.

First: Do Not Cancel the Audit Without a Plan

Postponing a surveillance or recertification audit can put your certificate at risk, because certification bodies must complete audits within defined intervals. If you need to reschedule, talk to your certification body early and understand the consequences. In most cases, the better path is to prepare.

Find Out What the Manager Actually Owned

Build a quick inventory of everything the departed manager handled:

  • Legal and other requirements registers and compliance evaluations
  • Aspect and impact registers (ISO 14001) and hazard identification and risk assessments (ISO 45001)
  • Objectives, targets, and monitoring data
  • Internal audit schedule and results
  • Open nonconformities and corrective actions
  • Management review records
  • Regulatory reports and permit deadlines

Check which of these are current. Gaps in internal audits and management reviews are among the first things a certification auditor will notice.

Assign Ownership, Even Temporarily

ISO 14001 and ISO 45001 both require defined roles, responsibilities, and authorities (clause 5.3). The auditor will ask who is responsible for the system now. "No one" is a finding. Name an interim owner and make sure top management can explain the plan to replace or cover the role.

Prepare the People Who Will Be Interviewed

Auditors interview supervisors and workers, not just the EHS manager. Make sure the people who will be in the room understand the policy, their role in the system, and the key risks in their areas. Clause 7.3 on awareness applies to everyone.

Be Honest About the Transition

Auditors understand that people leave. What they evaluate is whether the organization maintained control. A clear record of the transition, current owners, and a plan to close any gaps shows a system that works without depending on one person.
