Days 1-10: Triage and Team Formation
Immediately after receiving your audit findings, assemble a dedicated Corrective Action Team. Review each finding with leadership and assign clear ownership. Categorize findings as major nonconformities, minor nonconformities, or observations. Focus your energy on major findings first — these are the ones that threaten your certification.
Days 11-45: Root Cause Analysis
Go beyond surface-level fixes. Use formal methods like the "5 Whys" analysis or fishbone diagrams to understand the fundamental breakdown that led to each finding. A common mistake is treating symptoms rather than root causes, which leads to the same findings appearing in the next audit cycle.
Days 46-75: Implement Corrective and Preventive Actions
Develop and execute a plan that fixes the immediate issue (corrective action) and prevents recurrence (preventive action). This may involve process changes, new equipment, enhanced training, or updated documentation. Document everything — auditors want to see evidence.
Days 76-90: Verify Effectiveness
Conduct internal spot-audits to ensure the new processes are working as intended. Gather all documentation and evidence of your fixes. Prepare a clear presentation of your corrective actions for the re-audit.
When the Gaps Are Systemic
If your audit revealed systemic failures across multiple elements of your management system, a 90-day fix may not be enough. You may need to fundamentally rebuild portions of your EHS management system.
